Minutes of Meeting held on Monday 14th August 2017

Minutes of the Last Meeting
These were agreed as a true record.
 
Projects
Awaiting news on grants and quotes -   no update.
Constitution – Phil has done some work on the agreement and he and Kate will meet with Dick Whittington.
Car Park – Chris tried Capstan who confirmed that they no longer undertake car park repairs but will come back and advise if there is anyone else who does.
Upstairs Meeting Room – Flooring & lighting  (AS & NF) – no update.
Library – Sue Hope emailed regarding the possibility of hosting a Library in the Hall. They will need to provide locked cabinets. It will be open one afternoon once a fortnight and offer tea and cakes and it has to be accessible without stairs. The library provides the books and changes them over. Volunteers provide the  manpower – they have a number of volunteers, including Pat Sherry, some with library experience. The group need to report back on whether they will raise funds to cover the Letting costs, how many cabinets will be required, where the funds to start it will come from, Insurance, provide an answer to the Question over number of users. Will it include DVDs, kids books?
 
The view of the Committee was that it is a Community initiative and could  work with WI, Evergreens, Pre-school?  There was also a discussion as to whether there is a need to use the Piano? All groups asked to respond as the proposed area for the Library will mean the piano has to be moved which can upset the tuning.
 
Finance
Treasurer’s Report - Bill presented the report – no issues raised.  Inglefest contributed £200 to the Hall which is very gratefully received. Chris has thanked the Robsons.
Parish Council Report  - No report.
Car Parking Fees – Neil collected just over £9.00.
 
Income
Use of Car Park - Use of the Car Park - It was confirmed that there would no use of the car park for commercial vehicles unless it was for a limited period and with permission of the Hall. A flyer requesting contributions from the parents of School children when using the Hall for parking was suggested – SM will organise.
 
Bookings – there are a number of bookings for September.
After Show Event - Mel has most of the organization in hand and the Hall needs to provide:
Helpers for 2pm Sunday and clearing away 9ish on the Monday
CR to check the situation with Bins for waste as the Show committee are using their own bins.
Provisions for servicing the toilets and provision for Tickets on door?
 
Maintenance
·         Chris has done the Meter Readings and Logs.
·         Maintenance Working Party  - next working party to be organised after the one on the 19th to prepare for the show
·         Stanchion repaired for £100.
 
Play Area/Skatepark Report
They have organised a stall at the Show and a Christmas Shopping evening.
 
Risk Assessment
Slippery floor/water flushing in the ladies toilet.
 
Emergency Lighting/Fire Bells – all ok.
 
Correspondence
None.
 
Any Other Business
Angelo to look at CCTV.
 
Water heater is broken- Angelo to look to repair.
 
Hallmark standard for Village Halls requires Health & Safety document and Hygiene Certificate.  It will provide insurance premium discounts as well as a recognition of the quality of the venue. Angelo will circulate the Hallmark list for level 1.
