Minutes of Meeting held on Monday 13th March 2017

Minutes of the Last Meeting
These were agreed as a true record.
 
Projects
·         Windows –  on hold until we can apply for a postcode lottery grant.
·         Car Park – Cemex and Hanson are unable to help and neither is Emma Stanbridge’s contact so we are back to square one.  Chris suggested filling the potholes and he will speak to Gnome to see if he can advise on this.
·         Upstairs Room – Youth Club have two more decorating sessions planned which should finish the job.  Angelo still trying to source ceiling tiles.  Floor to be done.
·         Porch & Stage Door – Chris hasn’t heard back from Tom Bleaken.
·         Outside Lights – total cost is £1100 and we have a £200 grant from Parish Council.  We are hoping for Member Awarded Funding Grant ( Sue Hope) but may have to make up the shortfall.
 
Finance Report
Bill had distributed the report which was discussed.
Chris advised that we have a new cleaner – Jess Walker – who will share the duties with Louise.
 
Parish Council Report
No report.
 
Income
·         Bookings – We still need bookings for weekends.  Jane will put something on Facebook.
·         Big Breakfast – Price to be £6.00 for full breakfast – Chris will price smaller portions accordingly. Fiona to speak to Neil about supplies.  We will do a maximum of 100 covers.  Kate doing posters. Finalize at the next meeting.
 
Maintenance
·         Meter Readings and Logs have been done.
·         Maintenance working party – 8th April at 10am.    Play area and Skatepark to be prioritized due to forthcoming RoSPA inspection.
·         Hot Water – Angelo adjusted this but now too cold so he will work on it.
·         Upstairs sink – Louise said that the tap is dripping.  Chris wonders if we actually need a sink there.  Fiona to email Hall Users for feedback.
·         Angelo is still investigating an internet connected heating control system.
 
 
 
 
Play Area/Skatepark Report
Rebecca emailed to say they are proposing raising money to cover insurance by asking people to donate £5 a month.  The Committee thought this was a good idea and have asked Rebecca to liaise with Angelo regarding setting up a MyDonate page.
 
Risk Assessment
·         Emergency contact number is on the inside of the front door.
·         Emergency Lighting/Fire Bells – all ok.
·         Stair Treads – Martin thought these needed grip strips.  Chris/Angelo to look at this.
·         Constitution – Kate has spoken to Helen Black.  Chris wants to clarify current documentation and then re-appraise.
 
 
Correspondence
Email from Fiona Webb regarding damage to lock on the understage cupboard.  Chris has replied to this. 
 
Any Other Business
Pat gave a cheque from HURG for £688.28 which Angelo is banking and which will go towards making good the former composting area.  Chris thanked Pat and the other HURG members for this.

The date of the next meeting will be 10th April 2017 at 7.45pm
