 Minutes of Meeting held on Monday 27 th October 2014

   2. Previous Minutes
The Minutes were signed as a true record.

Simon Spedding  spoke about the proposed closure of the composting site, as SGC are no longer prepared to maintain it.  Our options are to close or continue to operate by trying to get grants to fund it and this would also require a lot of volunteer helpers.  It is unclear how much money would be needed.  SS confirmed that if the site closes at the end of March he will fund us for a transition period to close down the site and make good the ground.  He also offered to provide free training in using the machinery should we decide to keep the site open.  SGC are meeting on 5/11 to make the final decision on closures.  The Committee decided to wait until after that meeting to make our decision.

3. Matters Arising
Bank Documents –  
ongoing.
Website AS has added a Facebook link.  
Hall Door – AS dealing with this.
Bikers – a successful weekend and we should make a profit of around £2000.  BC offered to put a note in the Parish Mag to let people know that we need this type of event to keep the Hall running for their benefit.  Marina was unhappy at the state of the Hall and has stated that she will not work the Biker weekend next year.  We will need to hire a cleaning firm and allow for this in the charges.
Licence – Alex Powell has the information about licensee courses.
Light Bulbs – AS/NF to sort this week. MH offered to take old ones away.
Dog Sign – Version 2 of BR’s sign was agreed.
Defibrillator – the rota is up and running and will be checked every two weeks.
EasyfundraisingJS has suggested we encourage people to support this by citing specific target amounts and saying how the money will be spent.
 
4. Parish Council Report
SH
said that they had discussed Planning issues and that they do not want the village boundary to be changed.


5. Play Area/Skatepark Report
No report due this month.

6. Grants Sub Committee                                                                                                 
The grant for the PA system was successful.  Drama will fund the difference in cost.  Fiona Webb will be in touch to arrange a meeting with AS and the provider. We also succeeded in getting the Wall grant.  The Committee agreed to go with the cheapest of the 3 quotes provided.  AS is meeting the contractor on Thursday to finalise details and work should start in a couple of weeks.  As we will not receive grant money until after we have paid for the work, BC asked for permission to transfer funds from the Skatepark account and repay once we have the grant.  This was agreed.

Wishlist
These are items which will be put on hold until funds are available:
Resurface Car Park;  New Kitchen;  Disabled Canopy;  New Wall;  PA System/Amp

7. Treasurer’s Report
There was no report for September, but income was less than expenditure.   BC will prepare both months’ reports for next meeting.  A few cheques have bounced because they are not made out to Hawkesbury Hospital Hall.  BC has looked in the Energy Tax breaks but it is not as straightforward as we thought.

8. Hall Bookings
Drama rehearsals and production this month.  FOSM fundraiser on 15/11.  Guide
Fundraiser on 20/12.  BC to contact Louise re bar takings at their Panto in March.

9. Emergency Lighting/Fire Bells/Extinguishers & Meter Readings
CR
carried out checks.  
CR did meter readings:  Electricity 274120;   Oil  47";   Water 1553-496
AS reported that oil consumption is down by 30-35%.  BC to look at reducing the amount of our monthly standing order.


10. Correspondence
EON are coming this week to fit a new electricity meter.
Kath Harkness has resigned from the Committee.  She will be replaced by Debbie Young as Youth Club representative.
Email from SA regarding stage lights being left on and littering and asking Youth Club to check that the stage is not being used in their sessions.  She was also concerned that Pre-school had left cardboard lying in front of the stage which is a fire hazard.  She asked that a wheelie bin backstage be removed – AS has done this.



11. Any Other Business

NF
is concerned that the trees need pollarding.  SH to contact tree officer.
AS had to get Steve Blakeney out to sort blocked sink in ladies loo.
BC advised that insurance renewal is due for Skatepark.  He will contact DA to complete questionnaire the have sent.
AS thinks the water softener has stopped working.


11. Date of next meeting
