Minutes of Meeting held on Monday 10th October 2016

Minutes of the Last Meeting
August’s Minutes were agreed as a true record and signed by the Chair. 
 
Projects
  • Kitchen – Angelo is asking Steve Blakeney about moving the Burco.  It had been incorrectly wired up but has been repaired.
  • Upstairs RoomMark is almost finished with the decorating. He will liaise with Caroline re flooring.  Angelo has arranged for the electrician to look at lighting during half term week.
  • Pre-school Extension –  Kate has asked twice for an update but nothing so far.
  • Porch – Chris hasn’t heard back from Richard Bleaken.
  • Windows – Jane arranged for Yate Windows to measure up for aluminium door. They also measured windows and she is awaiting their quote.  SGC don’t have grants available but Jane may be able to source small grants.
 
Finance Report
Bill distributed October’s statement which was discussed.  We are paying £600 p.a. to have doormat cleaned.  Bill to check details of our contract.  Neil suggested investing in a steam cleaner and 2 mats.  Louise to be asked if she would be prepared to clean the mat.   Beaufort House paid for their parking space.  Skatepark sign has been paid for.
 
Parish Council Report
Sally updated us on the Community Library scheme which is under consultation.  Costs involved are unclear but if we are to set up a library we would need a dedicated, accessible space which we would have to shelve. A volunteer would be needed to run it and a laptop would be necessary. The Committee felt that there is no space in the Hall which fits the criteria.  Hilary suggested it might be easier to transport people to Yate or Wotton to access the library.   No progress on deed document.
 
Income
  • Bookings – Angelo advised that the Bonfire Committee have completed and signed a Risk Assessment. They are paying for Hall Hire (using kitchen and toilets) and will give a donation depending on takings.  They will buy and sell their own drinks.  Angelo is happy for them to use his licence.
  • Marketing – Chris to update at next meeting.
 
 
 
Maintenance
  • Meter Readings – Chris did these.
  • Maintenance Working Party – Saturday 29th October at 10am.  Jane to post on Facebook.
  • Play Equipment Maintenance – no report. 
 
Play Area/Skatepark Report
Rebecca advised that they now have the sign.  She will make it available for the Maintenance Group to put up on 29/10.
 
Risk Assessment
  • Constitution – ongoing.
  • Emergency Lighting/Fire Bells – 2 x fluorescent tubes required.
  • Risk Assessment Report – Chris finalising this.
 
Correspondence
Three replies from neighbours regarding CCTV.  All were in favour.  Angelo is looking at various systems.
 
Any Other Business
Louise reported that the pedal bin is broken.  Angelo will have a look at it.
 
Louise asked if PTA had moved a picture from the Hall before their Ball.  Fiona has asked Kate, and Rebecca will also make enquiries.
 
Neil has £25.91 from car parking donations.
 
Martin offered wood for the bonfire.  Angelo will advise when he can bring it round. 
 
Sally to ask Drew to move the deer roast equipment from the Rec.
 
Hilary asked if the piano could be put back in its normal place – it is in the chair store.
WI are missing a box of books – does anyone know where they have been put?
 
Bill asked Rebecca to get PTA to give Lorraine the actual hire times and rooms used over the weekend of the Ball for billing purposes.
 
Date of Next Meeting
The date of the next meeting will be 14th November 2016 at 7.45pm
