Minutes of Meeting held on Monday 14
th September 2015

1. Apologies for Absence

2. Minutes of the Last Meeting These were agreed as a true record and signed by the Chair.

3. Projects
 Kitchen – Kate spoke to Martin Weaver about phasing the fitting of kitchen to keep within budget. He can do kitchen and leave servery for later. This would be approximately £12.5k to include water heater. The Committee decided to go with this option but ask that we buy units for the servery so that we spend the full £14k grant. Kate and Jane are meeting up to see if further funding is available. Bill will speak to the bank about finance as we can only claim grant money after we pay Martin. Kate will ask if we can make 3 or 4 payments to spread costs.
 Redecoration of Upstairs Meeting Room – Debbie Young will get back to us regarding colour scheme (neutral colours) at next meeting. Buffs cabinet will not fit in the eaves. Fiona to email Mandy to ask if she would be prepared to swap as Buffs could modify the wooden cupboard to fit.
 Garden Waste – Pat reported that after weeding the area it is still very stony and compacted and will need to be rotavated before grassing. John Walker to have a look. Sam has cleared the area around the oil tank and offered to sand and hammerite it.

4. Finance Report
 Bill had distributed the report which was discussed. He will look into reclaiming VAT on electricity. He will also write to our suppliers and Hall User Groups asking for sponsorship for “Going all the Way” fundraiser.

5. Parish Council Report
 Andy reported that PC are going to spray paint dog mess to alert pedestrians and also to make people aware that the situation is being monitored. He also had a Legal Topic Note regarding Village Greens which prohibits the dumping of soil etc. He thought this would be useful should SGC not make good the former composting site. He also confirmed that PC pay for 13 grass cutting sessions per year.

6. Income
 Bikers have cancelled their event this year.
 Possible booking for Hallowe’en Party on 31/10. It would be a fundraiser for the Hall so we would not charge for hire.


 Going All the Way fundraiser needs to be promoted and supported. Kate to speak to John Walker as he may be organizing something and we could do teas/coffee on the Sunday morning as the runners come through.

7. Maintenance
 Meter Readings - submitted
 Cleaner – Miranda has taken over from Marina but only Monday-Friday. Kate will leaflet through school for someone to do weekends as necessary. Martin may know someone who is interested and will let us know.
 Working party arranged for 17/10 at 10am.
 Cost of 1
st phase of work on gutters and fascia is £1200.
 Clothing Bank – Angelo to follow up.

8. Play Area/Skatepark Report
 Signage still down on Skate Park. Steve to sort asap as this is a Health and Safety issue.
 Chris read out Dave Anderson’s Safety report. Cost of the chain link adjusters and other parts to be paid from Skatepark account. Bill will transfer monies. Neil and Angelo to look at repairs.

9. Risk Assessment
 Emergency Lighting/Fire Bells – Checks undertaken and complete.
 Angelo to look at light in gents toilet and front entrance.

10. Correspondence
 Email from Hazel Jones regarding missing “no dogs in play area” sign. Kate to get a new one. She also complained that mess (beer cans etc) was left in the upstairs meeting room last Monday. We can’t be sure who left the mess and why it wasn’t cleared up.

11. AOB
 Martin has large feedsacks available if anyone wants them.
 Pre-school want to buy a sandwich board to put outside – this is ok. They are also asking for an advertising sign to be put on the building. The committee have concerns and would prefer a second sandwich board. They would also like to buy a shed to put on composting site to store outdoor toys – this is ok so long as they cover insurance. Pre-school have also advised that in the long term they will need to expand. They wanted to make the committee aware that they will be asking about the possibility of a purpose built unit adjacent to the Hall or an extension to the Hall.

12. Date of Next Meeting
 The date of the next meeting will be 12th September at 7.45pm
 There being no further business the meeting closed at 9.00 pm
