Minutes of Meeting held on Monday 11th September 2017

Minutes of the Last Meeting
These were agreed as a true record.
 
Projects :
Library – we were joined by Liz Howard and a representative from the Library service.   We will need to have 2 locking, folding bookcases (to be stored beside the bar) and a laptop. Startup cost is approx £2000. They would have to apply for grants for this.  Liz had visited Marshfield to see how they run their community library.  They serve refreshments and donations from this are put into their funds.  Kate will speak to pre-school about moving some equipment from the side of the bar.  WI said that they do not object to the piano being sold/donated after the middle of October.  Jane will advertise it on Facebook.
Windows – Jane thinks we may need planning permission and has contacted SGC for advice.  UPVC to be used – dark on the outside and white inside.  Angelo has passed on specifications to Jane.  No doors included in quote. Bar window to be lockable.  Quotes from Yate Windows and CR windows.
Constitution – Phil and Kate are arranging to meet with Dick Whittington. He will also meet with Play Area Committee who are also discussing finances with Bill.  It is hoped that we can hold a meeting for the community regarding Constitution in November.
Car Park – Angelo has filled the big hole in the middle of the car park with concrete.  As we can’t afford to resurface the whole area we may have to fill individual holes as a short term solution.  Angelo to discuss with Neil.
Upstairs Meeting Room   no update.  Fiona to email Mark.
 
Finance:
Treasurer’s Report - Bill presented the report which was discussed.
 
Parish Council Report  - No report.
 
Car Parking Fees – Neil collected approximately £28.00.  Flyers have been given out to school parents.
 
Income:
Bookings – there is a birthday party in September and then nothing until 7th October.
 
After Show Event – this was very successful – exact figure raised is not yet available but should be in excess of £2000. The Committee are very grateful to Mel for all her hard work in organizing the event.
 
 
Maintenance:
Chris has done the Meter Readings and Logs.  Water usage is excessive.  Angelo will check the meter.
Flush in ladies loo has been repaired but another one is broken.  It might be worth re-considering a water softener.  Angelo will report on this at next meeting.
Pre-school had complained about the floor.  The cleaner was on holiday with no cover and Angelo had swept it.  He has spoken to Miranda. Kate will do the floor and bins this weekend.
Fiona to email Steve Magrath re bin not emptied on Rec.
 
Play Area/Skatepark Report
Rebecca and Karen reported that they have started fundraising.  The stall at the Show raised £384.26 and publicised the project.  They are running a Film afternoon in the school on 14/10.  A Christmas Shopping evening is planned for 10/11.  They asked if the Hall would consider waiving hire costs for this and the Committee agreed this, as it benefits the Hall.  They are also proposing a Murder Mystery evening but were asked to check with Drama (Sam Allen) first in case they have one planned.  They also asked if the Hall would consider a “Dog Show” event.  This was agreed subject to more details.  They are launching a competition to encourage children to help with design.  They also asked if they are allowed to increase the size of the Play Area.  This needs to be run past the Show Committee.  It was suggested that they get quotes based on the current size and an area 30% bigger (using the space to the rear of the current playpark)
 
Risk Assessment
Car park potholes to be added to this.
 
Emergency Lighting/Fire Bells – all ok.
 
Correspondence
Email from Sue Hope asking where the keys to unlock the windows are.  Angelo cannot find them and is looking into it. 
 
Any Other Business
Angelo will look at  getting an engineer to look at the water boiler but it may be cheaper to replace it with something more suitable for our needs.
 
Angelo will circulate the information on Hallmark scheme for Village Halls.
 
Date of Next Meeting
The date of the next meeting will be 9th October 2017 at 7.45pm.
