Minutes of Meeting

1. Apologies
Apologies were received from Louise Roberts and Lorraine Rutter.
For the first part of the meeting we were joined by Sue Hope, Chris Webb and Richard Bartlett and Marc Churchill from 1Skatepark for a presentation on the proposed Skatepark.
Dave Anderson had circulated a range of documents by email outlining the proposal, which he went through in detail with the Committee. We had the opportunity to put questions to RM and MC of 1Skatepark. Parish Council have given approval subject to advice from South Glos Environmental Dept regarding concerns about noise levels. RM & MC offered to provide a “Noise Statement” which was welcomed. The Committee asked that no deliveries be made to the site at weekends and that weekend working should be limited to fit in with Hall functions (e.g the Biker weekend). DA asked for approval from the Committee for the scheme to go ahead. This was unanimously approved subject to the above provisos. DA to report back to Committee following site visit from Sth Glos EHO.
2. Previous Minutes
The Minutes of the previous meeting were signed as a true statement.
3. Matters Arising
Constitution Issues/Boundary – the Bank are double checking for missing documents. BR said that Helen Black will make a presentation to the Committee at our meeting on 10 December.
Car Park – repair has been carried out.
Hall Website - ongoing.
Boiler – MB to ask Vicky Pember if she has information on possible grants.
Lighting – PW had quote for Cherry Picker of £142 per day. AS to ask Tom Cole about scaffolding tower as possible cheaper option. All starters and strip lights need to be replaced.
Door Lock – AS concerned that main door is not always locking automatically. Sara White found the missing box of key fobs.
Dog Mess – Parish Council have put a notice in the Parish Mag. We need to discuss this matter at a future meeting.
Lead for Roof – Carl Whiting has quoted £600 to replace with non-lead material. This included cleaning guttering and cutting overhanging trees. As we have a crime number for the theft it was proposed to claim on Insurance. MB to follow up.

4. Treasurer’s Report
MB’s report distributed.
5. Emergency Lighting/Fire Bells/Extinguishers & Meter Readings
CR to carried out checks. Battery needed for emergency light. Bulb gone in boiler room.
CR did meter readings: Electricity 249617; Oil 45” ; Water 1102.472
6. Playground Check
No report this month.
7. Correspondence
Email from Barbara Harvey regarding difficulty for WI in moving heavy small wooden tables to access the big tables. It was proposed to put small tables to rear of cupboard as large ones are on a trolley which can more easily be moved.
8. Bookings
Cycling Sportif – cycling event this Sunday. They need help and will pay. Please let AS know if you (or someone you know) can help. They are also looking for a photographer.
Biker Event – 26/27 October. Bar staff needed – please let AS/MB know if you can help for a couple of hours over the weekend. Sara Musty doing breakfasts. No one has come forward to do evening meals, so MB to arrange for Fish & Chip van to be on site.
November – we have FOSM ball on 17th and Drama on 23/24th
9. Any Other Business
KH reported that damp had been found in Youth Club cupboard. MB to ask Carl to look at it. Youth Club also asked if goalposts could be housed downstairs as they are difficult to move. NF thinks there is room under stage. AS to speak to Stan to see if they can go in Karate cupboard.
BR asked who is responsible for cutting grass in Play area. This is covered in the contract for maintenance of whole rec area.
He also said Parish Council want to know if the trees at entrance are on the risk register. Council Tree Officer has recommended trees be cut back. A grant may be available. AS to check if public liability insurance covers them.
9. Date of next meeting
The date of the next meeting will be Monday 12th November at 7.45pm.
